These terms supplement the main PT Client Service Agreement and apply specifically to sessions delivered online or remotely. By booking an online session, the Client agrees to these additional terms.
1. Platform and Technology
Online personal training sessions will be delivered via [Zoom / Google Meet / Microsoft Teams / FaceTime / other]. The Trainer will send a session link at least [24 hours / 1 hour] before each session.
The Client is responsible for:
- Having a compatible device (smartphone, tablet, or computer) with a working camera and microphone;
- Installing any required software before the first session;
- Maintaining a stable internet connection sufficient for live video (minimum 10 Mbps recommended);
- Joining the session on time using the link provided.
The Trainer accepts no responsibility for technical failures on the Client's side, including internet outages, device malfunctions, or incompatible software.
2. Training Environment Requirements
The Client confirms that their training environment meets the following minimum requirements for safe exercise:
- Clear space: A clear floor area of at least [2 metres x 2 metres / 6ft x 6ft], free of trip hazards, furniture, and obstacles;
- Safe surface: A non-slip surface — a yoga mat is recommended on hard floors;
- Head clearance: Sufficient ceiling height for overhead movements (minimum 2.5 metres recommended);
- Camera positioning: A camera angle that allows the Trainer to observe the Client's form — ideally a full-body view from the side;
- Ventilation: An adequately ventilated space, particularly for high-intensity work.
The Trainer may request that the Client adjust their camera position or environment at the start of a session. If the environment is assessed as unsafe, the Trainer reserves the right to modify or cancel the session.
3. Safety During Online Sessions
Important safety notice: Online sessions carry unique safety considerations that differ from in-person training. The Client acknowledges that:
- The Trainer cannot physically spot, assist, or intervene during exercises — therefore, heavy barbell lifts, exercises to near-failure, and movements with a high risk of catastrophic failure (e.g. heavy barbell squats without a rack) should be avoided or modified;
- The Client should not attempt maximum-effort lifts or one-rep maxes without a spotter physically present;
- The Client should have access to water and should inform the Trainer of any first aid kit location before the session begins;
- If the Client experiences pain, dizziness, or distress during the session, they must stop immediately and call emergency services (999) if required.
The Trainer will programme exercises appropriate for the remote setting and will advise on weight selection and exercise modifications to minimise risk.
4. Equipment
Online sessions may use:
- Bodyweight only (no equipment required)
- Resistance bands, dumbbells, kettlebells, or other agreed equipment
- Equipment: [list agreed equipment or "to be discussed at programme consultation"]
The Client is responsible for ensuring any equipment used is in safe working condition and appropriate for the exercises programmed. The Trainer accepts no liability for injury caused by defective or inappropriate equipment owned by the Client.
5. Session Recording Policy
Sessions will not be recorded without the prior written consent of both parties. If a recording is agreed (for example, to review technique), the following applies:
- The recording will be stored securely and shared only between the Trainer and Client;
- Recordings will not be used for marketing, social media, or any public purpose without explicit written consent;
- The Client may request deletion of any recording at any time.
Default recording setting: [Not recorded / Recorded with consent — delete this as appropriate].
6. Technical Failure Policy
In the event of a technical failure that prevents the session from proceeding:
- Trainer's connection fails within the first 10 minutes: The full session will be rescheduled at no additional charge.
- Trainer's connection fails after 10 minutes: The session fee will be reduced pro rata for the lost time, or a replacement session will be offered.
- Client's connection fails: Treated as a late cancellation — the cancellation policy in the main client agreement applies.
- Both connections fail simultaneously (e.g. confirmed outage): The session will be rescheduled at no additional charge.
In the event of a connection problem, the Client should attempt to reconnect within [5] minutes and contact the Trainer by phone or message if reconnection is not possible.
7. Under-18 Clients
For online sessions with clients under 18 years of age:
- A parent or guardian must have signed the main client agreement and consented to online sessions;
- A parent or guardian must be present in the same building (not necessarily the same room) during every session;
- The Trainer will end the session immediately if a parent or guardian cannot be confirmed as present;
- Recordings of sessions involving under-18 clients will never be made.
8. Cancellations for Online Sessions
The cancellation policy in the main PT Client Service Agreement applies equally to online sessions. Failure to connect at the scheduled session time (without prior notice) will be treated as a no-show.
